DentiHire ("DentiHire", "we", "us", or "our") provides an online platform that connects dental practices with hygienists, dental assistants, associate dentists, office managers, and other dental professionals across the United States. This Privacy Policy explains what information we collect when you use dentihire.com and our related services (the "Service"), how we use that information, who we share it with, the choices you have, and the rights you can exercise. By creating an account or otherwise using the Service, you acknowledge the practices described here.
1. Information we collect
We collect information in three ways: information you provide directly, information collected automatically when you use the Service, and information we receive from third parties.
1.1 Information you provide
- Account information such as your name, email address, password, role (candidate or employer), and phone number.
- Candidate profile information including resume, credentials and license numbers, work history, education, certifications, availability, desired locations, pay expectations, and a profile photo.
- Employer profile information including practice name, address, specialties, team size, website, and logo.
- Job listings and any content you publish on the Service.
- Applications and messages you send through the Service, including attachments.
- Payment information. Payment card data is collected and processed directly by our payment processor; we receive only a tokenized identifier and the last four digits of the card.
- Communications with our support team, including the contents of your emails and any screenshots you choose to send.
1.2 Information collected automatically
- Device and browser information, including IP address, browser type, operating system, device identifiers, and screen size.
- Log data such as pages visited, links clicked, timestamps, referring URLs, and approximate location derived from IP address.
- Cookies and similar technologies used to keep you signed in, remember preferences, measure usage, and prevent fraud.
1.3 Information from third parties
- If you sign in with a third-party identity provider (such as Google), we receive the basic profile information you authorize that provider to share.
- Our payment processor sends us limited information about your transactions so we can confirm payment and provide receipts.
- We may receive information from anti-fraud and analytics vendors to help keep the Service safe and improve performance.
2. How we use your information
We use the information we collect to:
- Create and operate your account and authenticate you across devices.
- Match candidates with relevant employers and job listings, including in our searchable directory when you have opted to appear there.
- Deliver applications, messages, alerts, and other notifications you have requested.
- Process payments and manage subscriptions.
- Measure how the Service is used, diagnose problems, and improve features.
- Detect and prevent fraud, abuse, and violations of our Terms of Service.
- Comply with legal obligations and respond to lawful requests.
- Send transactional emails (such as account confirmations) and, with your consent where required, marketing emails about new features and content.
3. Legal bases for processing (EEA / UK users)
If you are located in the European Economic Area or the United Kingdom, our legal bases for processing your personal data are: (a) contract, where processing is necessary to provide the Service you have requested; (b) legitimate interests, where processing is necessary to operate, secure, and improve the Service, provided those interests are not overridden by your rights; (c) consent, where required by law, such as for certain marketing communications and cookies; and (d) legal obligation, where processing is required to comply with applicable law.
4. How we share information
We share personal information only as described below. We do not sell your personal information.
- With employers. When you apply to a job, the employer receives your application materials, including your resume, profile, and any message you send. Employers may also discover your profile in our searchable candidate database if you have opted in.
- With candidates. Candidates receive the information employers publish in their listings and profiles, and any messages employers send through the Service.
- With service providers who help us operate the Service — including hosting, payment processing, email delivery, customer support, analytics, fraud detection, and security — under contractual obligations to protect the information.
- For legal and safety reasons when we believe disclosure is required by law, necessary to enforce our Terms, or needed to protect the rights, property, or safety of DentiHire, our users, or others.
- In a corporate transaction such as a merger, acquisition, or sale of assets, in which case we will require the recipient to honor this Privacy Policy or notify you of any material changes.
5. International data transfers
DentiHire is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States. Where required by law, we use appropriate safeguards — such as standard contractual clauses — to protect personal data transferred internationally.
6. Data retention
We retain personal information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we delete or de-identify it. Backups containing personal data are overwritten on a rolling schedule.
7. Your rights and choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your information, subject to limited exceptions.
- Object to or restrict certain processing, including direct marketing.
- Receive a portable copy of the information you provided to us.
- Withdraw consent at any time, without affecting the lawfulness of prior processing.
- Opt out of the sale or "sharing" of personal information (we do not sell personal information, but California residents may exercise this right at any time).
- Lodge a complaint with your local data protection authority.

8. Cookies and tracking technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, measure traffic, and protect against abuse. You can control cookies through your browser settings; blocking some cookies may affect the functionality of the Service. We do not respond to "Do Not Track" signals at this time but we honor opt-outs required by applicable law.
9. Children's privacy
The Service is intended for users who are at least 18 years old. We do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it.
10. Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, and destruction. Data is encrypted in transit using TLS and at rest in our managed databases. Access to production systems is restricted, logged, and reviewed. No method of transmission or storage is perfectly secure, however, and we cannot guarantee absolute security.
11. Third-party links
The Service may link to third-party websites that we do not control. This Privacy Policy does not apply to those sites. We encourage you to read the privacy policies of any third-party site you visit.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by prominent notice on the Service before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
